January 13, 2012 - How does Gray Listing block SPAM, and how do I enable this feature?
The Gray List feature depends on increasing the cost of junkmail mail delivery by taking advantage of the current behavior of most "junkmail servers" in that they don't retry delivery of messages to servers that refuse the connection. Each time a particular sender attempts delivery to a particular recipient from a particular IP address range, Office-Logic InterChange looks for the "triplet" of information in its database. If it is the first attempt, it will be added to the database and the sending server will be given a "451 Server busy. Please try again later." message and the attempt terminated. On the second attempt, if it is found to fall within the time window (i.e., more than 28 seconds and less than 4 hours) the message will be delivered. If it tries too quickly (i.e., less than 28 seconds) it will be rejected as "early", or if more than 4 hours, it will be rejected as "late". Once the triplet is allowed to deliver a message, it will be allowed to deliver without delays unless there is no further attempts for more than 36 days. In which case the process will begin again. While this mechanism doesn't stop all junkmail and it does cause an initial delay (the amount is dependent on the sending servers operation), it has proven to be very effective at stopping a substantial amount of junkmail.
To enable Gray Listing in Office-Logic InterChange, go to the Configure\Options menu on the Office-Logic InterChange server and select the Junk Mail tab menu. Click the box to enable the Block junk-mail by forcing multiple inbound delivery attempts (graylisting) option. Click the OK button to save your settings.
November 19, 2010 - I know that the DETAINED folder is for SPAM, but how does it work?
When someone sends you a message, Office-Logic InterChange uses several mechanical methods to determine if the message is legitimate or simply SPAM. The last line of defense is Allowed List/Challenge Response. Depending on the version of Office-Logic InterChange and Office-Logic Groupware that you are running, the Allowed List may be referred to as White List.
Office-Logic InterChange will check the senders e-mail address in the following locations to verify that their address is legitimate:

listed in one of the locations above, then Office-Logic InterChange will
deliver the message directly to the users INBOX.
You can also configure Office-Logic InterChange to send you DETAINED folder status report e-mail messages. The e-mail will list all the messages that are in your DETAINED folder, that might need your attention. You can configure your account to send you messages at specific times of the day. If this option is enabled, it will default to send you a message everyday at 3:00pm, but you can specify the times that you would like to receive the message(s).
First, make sure that you are running Office-Logic InterChange v4.24 or later. You may need to contact your Office-Logic InterChange Administrator to have them update to the latest version.
To set the option to receive DETAINED folder status report e-mail messages:
Click on the White List icon listed at the top. Check the box to enable the Send report of all messages in Detained folder option. You can enter the times of the day that you would like to receive these messages.
Click the Save button to save your settings, and log out of your account.
November 12, 2010 - My Auto-Reply Rule does not always send the auto reply... WHY?
Office-Logic has a very extensive Rules Engine that allows users to easily manage their e-mail in ways that best fit their needs. One of the Rules features will send an Auto-Reply back to the sender when specific criteria have been met. This can be All Messages, or you can use very detailed Include and Exclude conditions when defining a rule. The Auto-Reply feature is extremely helpful when a rule is created that lets people know that you will be out of the office, whether on business or vacation.
However, Office-Logic is designed to ONLY send one (1) Auto-Reply to a specific address per day. This is to prevent a Mail Loop, where two e-mail accounts with auto reply rules keep sending messages back and forth to each other. A mail loop can cause a users mailbox to fill over their quote in no time at all, and nobody wants to have to go through their mailbox to delete thousands of unnecessary messages.
To prevent a mail loop, Office-Logic keeps a list of addresses that have been sent an auto reply from your account each day. This information is stored in the LOGIC.RAR file for each user.
If you need to reset the addresses that have already received an auto reply for today, then contact your network administrator and have them delete the LOGIC.RAR file from your user directory:
October 22, 2010 - Can I log Chat sessions, and warn my users that they are being monitored?
Yes. Office-Logic Groupware and Office-Logic Groupware Client Server Edition has added logging and disclaimer features to the Chat module. Make sure that you are running the latest version of Office-Logic Groupware in order to utilize these features.
You will need to enable these features by editing your OL.INI file which is located in your Office-Logic GLOBAL directory (i.e. F:\LOGIC).
In your OL.INI file, scroll down to the [Chat] section header and enter the following information.

Daily Chat log files will be stored in the {LOG} directory off of the Office-Logic GLOBAL directory (i.e. F:\LOGIC\{LOG}

September 24, 2010 - Can I force ALL local and internet e-mail to be archived?
The best way to archive ALL messages is to send all Office-Logic Groupware mail through Office-Logic InterChange and set up Office-Logic InterChange to archive mail (if not already enabled):

September 10, 2010 - Can Office-Logic InterChange be configured to ensure SSL connections?
Yes. Office-Logic InterChange can be configured to force all connections to use SSL (Secured Socket Layer) encryption when users access their e-mail and calendars using the WebMail and WebScheduler interface. From the Office-Logic InterChange server, select the Configure\Options\Web menu. Check the option to Force all Web connections to use SSL. The default port for SSL is 443. Click OK to save your settings. Make sure that your SSL port (443) is configured on your firewall to redirect to your Office-Logic InterChange server. Once configured, all web connections to your Office-Logic InterChange server will use SSL encryption.

September 3, 2010 - Can I recover a record that was deleted in one of my databases?
Yes. Click on the

icon located on the left side Office-Logic Module Bar. This will display
a list of your Personal and Global Database files. Open the database
file that you want to restore the deleted record by either
double-clicking on the file name, or highlight the file name and click
on the Open icon. Once the database file has been opened, Right-Click
anywhere in the record field and select the
Show Only Deleted
option.
August 27, 2010 - Does Office-Logic InterChange only use one White List to verify inbound addresses?
No, there is a Personal White List and also a Global White List within
Office-Logic InterChange. The White List/Challenge Response technology
is validated by the senders e-mail address. If the senders full e-mail
address is in the recipients Personal White List or the Global White
List then the sender will not have to validate their address with a
challenge message, and their e-mail will be delivered directly into the
receivers Inbox, as long as it passes the other SPAM and Virus filters.

Yes. You might find that you have to send the same message out to the
same or different people over the course of time. A weekly time-sheet
reminder, or a client information form are examples of messages where
the message text really doesn't change that much, yet you have to send
out quite often.
August 13, 2010 - Can I synchronize my Office-Logic data with a smartphone?
Yes. We have several options for our customers that would like to access their Offiice-Logic email and synchronize their Office-Logic data with many different devices.
Our SyncML Sync Service allows you to synchronize your Office-Logic calendar and contacts with any BlackBerry, iPhone*, iPad*, iTouch*, Droid, Android\Google or Palm (Web OS) enabled device through your Office-Logic InterChange Server. SyncML Sync Service performs a direct wireless synchronization through the Office-Logic InterChange server. You can access your Office-Logic e-mail using the e-mail client that comes on the device through your Office-Logic InterChange server.* If you would like to synchronize your Office-Logic To-Do lists with your iPhone\iPad\iTouch, then you will need to use the Synthesis AG Todo+Cal+Sync client which can be purchased from the Apple App Store along with SyncML Sync Service. If using the Synthesis AG Todo+Cal+Sync application to synchronize your Office-Logic To-Do lists, and you would prefer to use the native Calendar and\or Contacts applications on your iPhone\iPad\iTouch, then you will need to disable the Synthesis AG Todo+Cal+Sync client from synchronizing Calendars and\or Contacts. July 23, 2010 - Can I easily send a message to a large list of e-mail addresses that I have?
Yes. Office-Logic Groupware allows you to take a list of e-mail addresses from a text file or a spreadsheet, and use a single paste command on either the To:, Cc: or Bcc: fields to insert those addresses. Click on the Compose icon in Office-Logic to bring up a Compose Message window. Simply highlight all the addresses that you would like to use from your list and either right-click and select the Copy command, or use the <CTRL>+<C> keys to copy those addresses. Then using your mouse, right-click in either the To:, Cc:, or Bcc: fields within Office-Logic and select the Paste command. All of your highlighted e-mail addresses will be entered into the selected field. You can also drag addresses between the To:, Cc:, and Bcc: fields.
If you plan on sending messages in the future to this same group of addresses, then it can be very helpful to create a Distribution List within Office-Logic. Once you have all the addresses in either the To:, Cc:, or Bcc: field, click on the down-arrow icon located on the far right side of the To:, Cc:, or Bcc: fields. This will bring up the Recipients window, and you will see all of your address in the appropriate field(s) on the right. At the bottom of the Recipients window is an option called Save selected recipients to a distribution list called. Enter a name for this distribution list and click on theSave button. The distribution list will remember which addresses you have placed in To:, Cc:, and Bcc: fields, and use that same location in future mailings.
To select this distribution list in the future, you will need to click on the down-arrow when composing a message to bring up the Recipients window. Click on the pull-down window in the Address Book field and select the All Distribution Lists option. This will display a list of all your distribution lists. Simply double-click on your distribution list name, and all your addresses will added to the appropriate fields.
If you do not want the recipients of these messages to see the other addresses, then you should enter all the e-mail addresses in the Bcc: field and leave the To: and Cc: fields blank. Office-Logic will suppress the other addresses from being displayed to the other recipients.

July 9, 2010 - Can Office-Logic Groupware append a disclaimer to all outbound messages?
Office-Logic has the capability of adding a disclaimer to the bottom of every outbound message. Change to the GLOBAL user, go to the e-mail module, select Options->Personality. Create a personality, such as "DISCLAIM". Create a RichText personality that contains the logo, text, etc. that you want on the bottom of RichText messages. Plain text messages will get the text but not the graphics.
Once it is created and saved, edit the OL.INI file which is located in your LOGIC directory on the file server, and place the name of the disclaimer, in this case "DISCLAIM" in the following field:

June 25, 2010 - Can I change the margins when printing an e-mail?
Yes, you can adjust the margins when printing an e-mail in Office-Logic.
If the e-mail is a Plain-Text message: Right-Click within the body of the e-mail message, and select the Print... option. Adjust the margins to align your printed e-mails the way you would like, and click the OK button to save your settings.
If the e-mail is a Rich-Text (HTML) message: Right-Click within the body of the e-mail message, and select the HTML Page Setup option. Adjust the margins to align your printed e-mails the way you would like, and click the OK button to save your settings.
June 11, 2010 - Can I have Office-Logic mark my messages as READ only when I open the message?
When you highlight a message that is located in your Inbox, and you have the Preview Window feature enabled, it is possible that Office-Logic will change the status of that message from UNREAD to READ after a specific amount of time. Like most things in Office-Logic, this behavior can be modified to fit the users needs.
Open Office-Logic and go to your E-mail. Select the Options\Configure... option which is located at the top of Office-Logic on the Menu Bar. Towards the bottom of the Email Configuration window, you will see the following option:
In order to have Office-Logic only mark your messages READ when you actually open the message, then it would best to set this option to 0 (zero). This will prevent Office-Logic from changing the status of messages in your Inbox that have been displayed in the Preview Window.
If a message in your Inbox has a Read Receipt request, then setting this option to 0 will also prevent Office-Logic from inadvertently sending the Read Receipt back to the sender until you actually open the message.

May 28, 2010 - Can I receive my Office-Logic Phone Messages when I am away from the office?
Yes. Office-Logic Groupware allows the user to receive their new Phone Messages as an e-mail or text message on their cell phones, as well as within Office-Logic Groupware, so they can be notified when they have a new phone message from any location. Since the user has control over this feature, they control when and where to send their phone messages instead of the person who is taking their message.
To setup this feature in Office-Logic Groupware, open the Phone Message Center module and select the Options\Configure menu option. From the Phone Message Configuration menu, Check the box to enable the Send copy of all phone messages to email address: feature. The user can easily toggle this feature on and off as needed. Enter a valid e-mail address to send a copy of your phone messages to. To receive your phone messages as a TXT message, you will need to enter an address that is supported by your cell phone provider. As an example, a Verizon customer can enter their phone number followed by @vtext.com, or 2125551212@vtext.com. Of course, you must have a plan that supports text messaging, and normal text message pricing applies. Click the OK button to save your settings.
Here is a list of the most common cell phone provider e-mail addresses (domains) for sending an e-mail message as a text message to your cell phone. Replace "phonenumber" with your cell phone number. If you have a problem receiving a text message, then please contact your cell phone provider to verify their addressing format:

May 21, 2010 - Office-Logic allows users to Share and Overlay multiple calendars
The Personal/Group Scheduling modules in Office-Logic Groupware and Office-Logic InterChange allow users to overlay multiple calendars onto their own personal calendar.
To enable this feature in Office-Logic Groupware: From within Office-Logic Groupware, open the Scheduler module to display your calendar.
First, the user who wishes to share their schedule with other users must enable this option and select the users that will be allowed to overlay their calendar. Click on the Options\Sharing menu item and select the appropriate "Allow these users" or "Allow all" option. Next the user who wishes to overlay another user's schedule onto their own calendar must enable this option from the Options\Sharing menu. The user will select which schedules to overlay on their calendar by selecting the appropriate user/calendar under either the "Overlay these calendars on my schedule" or the "Overlay and share these calendars on my schedule" options.
The "Overlay these calendars on my schedule" option will display that calendar on your schedule. The "Overlay and share these calendars on my schedule" option will display that calendar on your schedule and also on anyone else's calendar that has your calendar overlaid on theirs. As an example:
To enable this feature in Office-Logic InterChange: For Office-Logic InterChange users, log into your account using the web interface. Office-Logic InterChange users must click on the Scheduler icon to display their calendar.
First, the user who wishes to share their schedule with other users must enable this option and select the users that will be allowed to overlay their calendar. Click on the Share icon and define which users will have permission to overlay your calendar under the "Allow specific users to OVERLAY your calendar".
Next, the user who wishes to overlay another user's schedule onto their own calendar must enable this option from their Sharing menu. The user will select which schedules to overlay on their calendar by selecting the appropriate user/calendar under either the "Overlay these calendars on my schedule" or the "Overlay and share these calendars on my schedule" options.
May 14, 2010 - Can I set password requirements for my users?
Yes. Office-Logic Groupware and Office-Logic InterChange will allow the administrator to set requirements for user passwords.
The Minimum number of characters required in user password option allows the administrator to set the minimum length of the passwords that users can set. The Non-alpha characters required in user password option allows the administrator to force users to use at least one character other than A through Z for higher password security. The Require password to meet above password requirements before user can login option forces Office-Logic Groupware users to have a password. Passwords are required for Office-Logic users to be able to access their e-mail and calendars remotely through the Office-Logic InterChange WebMail and WebScheduler interface. The Require password to be changed after the specified number of days option forces the users to change their passwords on a regularly timed basis. Some security experts believe that forcing users to change their passwords reduces security. Users that have to change their passwords frequently have a tendency to write their passwords down in obvious places in order to remember them.

May 7, 2010 - What are the little red and blue arrows on the message list view?
When looking at your list of e-mail messages, you may notice that there is a RED and/or BLUE arrow(s) on the envelope icon next to some of your messages. The RED arrow is an indicator that this message has either been replied to or forwarded by you. The BLUE arrow indicates that the message was sent to you with a read receipt request by the sender.
Office-Logic Groupware allows you to configure how messages that have requested a Read Receipt are handled. Within the Office-Logic Groupware e-mail module, select the Options\Configure menu and click on the Read tab. There is an option called Return Read Receipt: which has a pull-down window. Your options in the pull-down window are:
Many of our Office-Logic customers wanted the option to either "Never send a read receipt" or "Ask before sending a receipt" because they find read receipt requests as an invasion of privacy. The "Ask before sending receipt" option will display an option to either send or not send the read receipt when the message has been opened.
April 30, 2010 - Office-Logic Groupware Chat feature now supports multiple user sessions
Office-Logic Groupware has updated the Chat feature to allow multiple users to join the same chat session. Office-Logic Groupware will support up to 10 users within the same conversation, with each user's comments easily distinguishable by different assigned colors. The new Chat interface also makes it easy to see which users are available and then select the users you want to invite to your Chat session. Other new features within Chat include:

April 23, 2010 - What is the difference between the Sent Items and Archive folders?
The Archive option saves a permanent copy of your outbound messages into Yearly {YYYY} or Monthly {YYYYMM} mailboxes under the Archive mailbox tree structure. The Sent Items feature keeps a temporary copy of your outbound messages for a configured number of days and then removes them from the Sent Items folder automatically. The Sent Items folder allows users to view or save their outbound messages even if they have inadvertently turned off the Archive option.
With the Office-Logic Groupware Sent Items folder, a copy of all outbound messages that you send are stored in the Sent Items folder for a configured number of days, whether or not you have the Archive option enabled. The default number of days messages are kept in the Sent Items folder is 10 days. You can change the number of days messages are kept in the Sent Items folder by selecting the Options\Configure option located on the Menu Bar while in the Office-Logic E-mail Module. Change the number of days on the Days messages stay in Sent Items option. Click on the OK to save your settings.
To turn on Archiving in Office-Logic
Groupware,
click on the Compose icon on the Tool Bar to bring up an e-mail
compose window. Select the Archive option located under the
Subject line. This option will stay on once it has been selected
until it is manually turned off.
The Archive and Sent Items features in Office-Logic Groupware are for the users' benefit in keeping out bound messages that they send.
The Archive option is either turned on by the user or it is forced on by the administrator in the configuration file. If forced on by the Administrator, then the user cannot turn Archiving off.
When a user sends a message, a copy of the sent message is:
Inbound messages are typically sorted to other mailboxes from the Inbox for long term retention and retrieval.
The above procedure does NOT have any bearing on the Archiving
capability of Office-Logic InterChange or Office-Logic Groupware for
message retention through the Global Archiving capabilities. The
Office-Logic InterChange Archiving is controlled in the Office-Logic
InterChange Configure\Options\Archive menu tab, while the
Office-Logic Groupware Archiving is controlled by the OL.INI

*** The one exception is if you have Office-Logic Groupware configured to access additional POP3 accounts from outside servers. Having Office-Logic Groupware POP mail from an external mail server bypasses messages coming in through Office-Logic InterChange, and is NOT recommended. This method is both a security issue and data retention issue.
April 16, 2010 - What is the difference between using the FORWARD and REDIRECT option for e-mail?
If you need to send a message that you received to other users, which option would be best, the FORWARD or the REDIRECT?
The FORWARD option sends a copy of the message, but it replaces the original senders information or FROM address with your own. The REDIRECT option will send a copy of the message, but it retains the original sender information. Why would this be important? If I wanted to send a copy of a message that I received to another user, but did not expect that user to reply to the original sender, then I would use the FORWARD option. If I was sending a message to another user and expected that user to reply to the original sender, then I would use the REDIRECT option.
The FORWARD option allows you to add or edit the message body before sending. A REDIRECT will NOT allow you to add or change the Subject or Message Body of the original message. The original message is redirected to the new address without your comments.
A REDIRECT is also very helpful if you are sending a message to another account for you to access remotely, such as a POP account. You would want to use the REDIRECT so you would know who the original message came from. If you were to use the FORWARD option, all those message would contain your address in the From: field, instead of the original senders.
The FORWARD and REDIRECT options are available when creating rules to help manage your Office-Logic mailboxes. When creating a rule, there are also two new options that can be very helpful when forwarding or redirecting messages to accounts that will be accessed by a cell phone or PDA device. These new options are the FORWARD to small device and the REDIRECT to small device. The FORWARD and the REDIRECT functionality work the same as described above, however, these new options will only send the subject of the message and the first 200 characters of the message body. This can be very nice when sending to accounts that have limited space available or for devices that can sometimes be cumbersome when reading large messages such as a cell phone.
April 9, 2010 - Can I create an Auto-Reply message when I am on vacation?
Yes. Options\Rules is where you setup
an auto reply for out of office messages. When an Auto-Reply rule is
setup, every message that meets the Include Condition(s) will be
sent a message, but only one message per day, per e-mail address. Be
advised that the rules must be processed by the workstation of the user
for inter-office messages unless Office-Logic Host (OLHOST32.EXE)
is setup and configured on one of your machines in the office.
Office-Logic InterChange will process rules for messages from outside of
the office.
April 2, 2010 - Adding Signature(s) within Office-Logic
To create a new signature in Office-Logic: From the E-mail Module, select Options\Personality\New. Select a name for the new Personality (e.g., DEFAULT). Enter the signature information that you want appended to the bottom of your messages. Close the Personality window and select SAVE. You can create many different signatures, and select the one that is appropriate for the person you are sending your message to. When composing a message, use the Personality pull down menu to select which signature to use for that message. Office-Logic will remember the last Personality that you selected and will continue to use that Personality until a different one is selected.
Make sure the Signature check box is selected if you want this signature to automatically be appended to the bottom of your message. The Personality window and Signature check box are sticky options and will remain enabled/disabled until manually changed by the user.
If you prefer to enter your signature in a location other than the bottom of the message, then uncheck the Signature check box option and use the Sign icon on the Tool Bar. The Sign icon will insert your signature, for the Personality that you have selected, at the location of your cursor in the message. You can also use the <CTRL>+G keys to insert your signature at the cursor location. This option is very useful when replying to messages that have your comments at the top.
If you would like the signature to be appended to the bottom of your message as well, then make sure that the Signature option remains checked.
March 26, 2010 - I received an e-mail message with a WINMAIL.DAT file that I cannot read.
Recent versions of Office-Logic can view
attachments that are transmitted in the winmail.dat file. The e-mail
message containing the WINMAIL.DAT file was sent from Micro$oft
Outlook, which uses a non-standard method to encapsulate attachments
and other message formatting into a TNEF file. Office-Logic and many
other e-mail clients follow industry standards for Internet mail and
therefore would not natively recognize a Microsoft specific file.
You should advise the sender to change their Outlook settings to
send in either the plaintext or HTML format. To select the mail
format in Outlook, the following should be done:
1. On the Tools menu, click
Options and then Mail Format.
2. In "Send in this message format", click to select HTML or Plain Text.
Outlook also has the ability to tag individual
e-mail addresses in its address book as capable of receiving this
proprietary "Microsoft Rich Text" format. Within Outlook, open the
contact properties by double-clicking on the contact. Then right
click on the e-mail address and select "Properties". You will see
an option "Always send to this recipient in Microsoft Outlook
rich-text format". Make sure this option is not checked.
Even though an Office-Logic user may receive an
attached winmail.dat file, the recipient can view the contents of
the file IF it is an attachment just as you would with any other
attachment. If the winmail.dat file is just containing formatting
for the message it is of virtually no use to the recipient. Having
the sender properly configure the sending program is really the only
way to avoid this non-standard formatted message.
March 12, 2010 - Can I change the default fonts within Office-Logic?
Yes. Office-Logic has made it easy to change the default font character type and size when either composing messages, reading messages, and message list displays. From the e-mail module in Office-Logic, select the Options\Font menu. This menu allows you to select the default font and size for the following areas:
Changing the Richtext Messages default font and size is limited to composing messages. When you receive a richtext message from another user, the richtext font that they used to create their message will be displayed in Office-Logic. The text size for richtext messages that you receive are controlled by the text size setting in Internet Explorer. You will need to open Internet Explorer and select the View\Text size option. Select the appropriate text size setting (Smallest, Smaller, Medium, Larger, Largest). Exit Internet Explorer, and restart OfficeLogic
Changing the Palintext Messages default font and size will be displayed when composing and reading plaintext messages.
March 5, 2010 - Can I import my Outlook e-mail and address books into Office-Logic?
Yes. From within the Office-Logic e-mail module, select the Options\Import menu option. Your import options will be the following:
Many of our customers that have been using Outlook and Outlook Express for their e-mail have become more aware of the vulnerabilities associated with data security and virus attacks targeted towards Outlook. To limit the possibility of having their companies regular business activities disrupted by network performance problems or data integrity violations, many of our customers are mandating that their users not run Outlook or Outlook Express while connected to their networks.
Our products are designed to limit the chances of these attacks from spreading, or allowing the end users from infecting their network environment. Office-Logic allows the Administrator to limit what attachment types their users can receive, open, or even save. Some of the other features found in Office-Logic that make it a more secure and safer client for our customers:
November 13, 2009 -BlackBerry causes appointments to be deleted and sometimes send unwanted cancel notifications
The issue of sending old e-mails has been partially fixed by a modification to Office-Logic InterChange that inhibits "old" appointments from sending e-mail updates. If the user has configured the "Schedule days back to synchronize" within the Synchronization Options in Webmail/WebScheduler to more days than the BlackBerry is configured to keep (the default is 30 or 60, depending on which device), then the phone must also be configured to keep appointments longer than the configured days. This setting is in the Calendar application on the BlackBerry under "Options". Look for "Keep Appointments" and set it to a value greater than the "Schedule days back to synchronize" setting. It allows a setting of 15-, 30-, 60-, 90-days, and "Forever" to be selected. Setting it to "Forever" will allow the number of days back to be set by Office-Logic InterChange. Otherwise, the BlackBerry will take it upon itself to delete the old appointments and cause e-mail notification to be sent to attendees.
February 20, 2009 - Adding a Gmail e-mail Account in Office-Logic
You can set up
Office-Logic to send and receive your Gmail™ e-mail. Now you can
access your Gmail e-mail using Office-Logic. Your administrator will
need to define your setting in the Global User/Group

In the Account: field type your full email address (including @gmail.com In the Password: field type your Gmail password. Enter an Office-Logic mailbox/folder to use for accepting the mail e.g., "GMAIL". Check the box Leave mail on server if you want to be able to access the mail from other locations or software besides Office-Logic. consists of a string as reasonably long as the system will allow
(Office-Logic allows 10), consisting of characters selected from all
those allowed by the system and in a manner that provides no redundancy
– in other words, totally random selection. But we do have to be able
to remember our password.

take the first step to ensure that their employees or students have a
clear understanding that the entire e-mail system belongs to the
organization, and not the individual. There should not be any doubt to
the individual that ALL content that is created, received, or stored on
the organizations e-mail system is the sole ownership of the
organization, and the employee has no right to its ownership or have an
expectation of privacy.
June 8, 2007 - Use Logic-Safe to secure your PC when away from your desk.
Office-Logic Groupware has a feature called Logic-Safe that will allow you to enable your defined Windows screen saver quickly for when you need to step away from your desk. It is always a good policy to ensure that your PC is secure when it is unattended, and Logic-Safe makes it easy.
First make sure that your PC is configured for a screen saver, and that it has a password defined. From your Windows Desktop, Right-Click your mouse pointer in any open area (not on top any of your shortcut icons) and select the Properties option. Go to the Screen Saver tab menu, and define which screen saver you would like to use. Enable the On resume, password protect option. Click the OK button to save your settings.

May 18, 2007 - Make sure the links in your e-mail are going to where they say they will.
Many of your e-mail messages contain links that when clicked on will open your web browser and bring you to a specific location on the internet. It is a common practice for the "Bad Guys" to trick people into clicking on these links that could potentially collect personal information about you, or infect your environment with a virus or worm.
A Rich-Text or HTML e-mail message has the ability to disguise the actual location of the link. As an example, you could see the words Click Here in your message, and not be aware of exactly where clicking on this link will take you. However, Office-Logic will display the actual link location on the Status Bar when you position your Mouse Pointer over the link in your e-mail message. The Status Bar is located at the bottom left hand corner of your Office-Logic window. The Status Bar option can be toggled On or Off in Office-Logic, so you will want to make sure that this option is enabled by clicking on the Options\Status Bar option located on the Menu Bar at the top of Office-Logic.
This feature is also helpful when you need to verify the actual link location if clicking on the link does not take you to the location you were expecting to go.
Messages that you receive in Plain Text format do not have the ability to disguise these links. Any links within Plain Text messages are easy to see exactly where it will take you if selected.
It is a very smart practice to use the Status Bar to verify the link location before clicking on any link within an e-mail message. If you are not sure that this is a safe link, then you might want to write down the link location that is displayed on the Status Bar and contact your Network Administrator. It is better to be SAFE!!!
April 20, 2007 - How do I turn on the feature in Office-Logic InterChange to Detain Junk Mail?
Office-Logic
InterChange has several layers of SPAM, or Junk Mail, protection. The
first level of defense against unwanted Junk Mail is called Gray
Listing. Gray Listing basically depends on increasing the cost of
junk mail mail delivery by taking advantage of the current behavior of
most "junk mail servers" in that they don't retry delivery of
messages to servers that refuse the connection.
If the senders
e-mail address is listed in one of the locations above, then
Office-Logic InterChange will deliver the message directly to the users INBOX.
If the senders e-mail address is NOT listed in one of the above
locations, then the message is placed in your DETAINED folder and
a Challenge Message is sent back to the original senders e-mail
address to be verified.
April 13, 2007 - Should I disable the E-Mail Preview Window in Office-Logic Groupware?
If your Consultant / Network Administrator / Security Administrator / Guest IT Speaker / Conference Speaker / Friend / Neighbor / or even Brother-In-Law tells you to turn OFF the Preview Window for viewing e-mails because it is not safe, what they are telling you is that they are a Microsoft Outlook bigot(1). Any Microsoft Certified Egomaniac (MCE) will make that same claim simply because they know that the Preview Window in Outlook is truly NOT safe. By their (MSoft) own design, Outlook has many vulnerabilities that spammers and viruses target. Many of these attacks are executed by Outlook by simply displaying a message from within the Preview Window.
However, Office-Logic Groupware has taken several precautions to keep our users as safe as possible from these forms of attacks.
Therefore, the viewing of messages from either the Preview Window or Opening A Message using Office-Logic Groupware is pretty safe. Of course, you may still be vulnerable if you choose to view any pictures. Hopefully you have Office-Logic InterChange to scan your e-mails for Bad Stuff before the messages are delivered to the users mailbox. It is also highly recommended that your workstations and servers are protected by a reputable Anti-Virus solution such as Norman, McAfee, or Symantec. (1) Webster's definition of the word Bigot: a person obstinately or intolerantly devoted to his or her own opinions and prejudices.
March 16, 2007 - Can Office-Logic InterChange be configured to send only encrypted e-mail to specific domains?
By default, all e-mail that is sent from Office-Logic InterChange to a server that supports TLSSTART (SSL for SMTP) is sent encrypted using the TLS protocol. Any message that is sent to a server that does not support TLSSTART is sent in plain text with no encryption.
You can restrict mail from being sent to any server that does not support TLS based on domain names. In other words, if you want messages to be encrypted to GoodDomain.com and not sent if the server does not support TLS, then you can add GoodDomain.com to the list of security required servers.

March 2, 2007 - Can Office-Logic InterChange BLOCK all e-mail from specific regions?
Absolutely. Most SPAM messages originate from regions outside of the Unites States, and many of our customers do not send or receive messages out of their own territories. Office-Logic InterChange has the ability to block IP Address ranges that are assigned to specific regions of the world, and therefore will reduce the amount of unwanted SMTP traffic and SPAM from your e-mail server.
If you do not want to receive messages from a specific region, and do not anticipate any of your users traveling to those areas and attempting to send e-mail to your Office-Logic InterChange server, then you can do the following:
Copy and Paste some or all of the IP Address ranges into your BLOCKIP.TXT file located in your ..\INTER\CLEAN directory.
Or, you can enter the IP Address ranges directly into Office-Logic InterChange one at a time.
February 23, 2007 - Can I synchronize my Office-Logic Cardex files to my PDA device?
Not directly. The Cardex module goes back to the early days of Office-Logic, and whose freeform format allowed data to be entered into its fields indiscriminately. However, the Database module gives more control and flexibility over the data fields by using a record layout. Additionally, the Database module allows printing, sorting, searching, and the ability to synchronize your data to PDA devices. Office-Logic Databases can be synchronized to PDA devices that support the Palm operating system, PocketPC, Windows CE, and SyncML such as Blackberry. To determine which synchronization product best fits your PDA device or needs, please contact either our Sales or Support technicians.
The Cardex files will need to be converted over to Database files in order to synchronize with your PDA device.
Note: You may not have the same number of fields in both columns. The import will still be successful. You may also need to edit the data in the Database fields depending on how the information was originally entered into the Cardex fields.
February 16, 2007 - How can I see which Office-Logic Palm Conduit licenses have been assigned to each user?
From Office-Logic Groupware, click on the User\Group Maintenance module icon located on the left side Module bar. Once you are in the User\Group Maintenance module, click on the Options\Palm Licenses option located on the top Menu bar. The Palm Licenses window will appear and display all the Office-Logic Palm Conduit serial numbers that have been installed and assigned to specific Office-Logic users.
From the Palm Licenses window, you can delete any Office-Logic Palm Conduit serial number that has been assigned to a specific user and then assign it to another user. The new user will need to install the Office-Logic Palm Conduit on their workstation that has the Palm Hotsynch Manager already installed and working properly, and has access to their Office-Logic files on the network. During the installation, they will need the appropriate activation code for their Office-Logic Palm Conduit serial number. Please contact our Sales department if you do not have the activation code available.
February 9, 2007 - Can I run a 30-Day Trial of Office-Logic Groupware Client Server Edition?
Yes. The Office-Logic Groupware download includes the Client Server Edition. If you are installing Office-Logic Groupware for the first time at a new location, then the 30-day trial will allow you to configure the Client Server Edition.
If you have a previous version of Office-Logic Groupware, version 7.x or earlier, then you can install Office-Logic Groupware v8.x on top of your existing Office-Logic Groupware files. This will revert your earlier version of Office-Logic Groupware to a 30-day trial and allow you to try the Client Server Edition. It is recommended that you have a current Updates, Support & Enhancement (USE) Agreement when installing an updated version of Office-Logic Groupware over an older version. The USE Agreement entitles you to updated versions of Office-Logic Groupware at no additional charge.
If you are already running Office-Logic Groupware v8.x and would like to try the Client Server Edition, then please contact our Support Department for the necessary instructions on reverting your current setup to a 30-day trial.
February 2, 2007 - Do we need to do anything special to adjust for the new Daylight Saving Time?
Not anything "Special". Office-Logic products will not be effected by the new Daylight Saving Time date changes. You may want to modify the Global scheduler appointments that correspond to the dates that DST is going to be changed (see below).
During Daylight Saving Time, clocks are turned forward an hour, effectively moving an hour of daylight from the morning to the evening. Most of the United States has observed Daylight Saving Time from 2:00 a.m. on the first Sunday of April to 2:00 a.m. on the last Sunday of October. Due to the Energy Policy Act of 2005, beginning in 2007, most of the United States will begin Daylight Saving Time at 2:00 a.m. on the second Sunday in March (March 11, 2007) and revert to standard time on the first Sunday in November (November 4, 2007).
To remove or modify these Global appointments, you will need to either log into the Global user, or switch to the Global user and open the Scheduler or WebScheduler module.
The Secretary of Energy for the United States will report the impact of this change to Congress. Congress retains the right to resume back to the 2005 Daylight Saving Time schedule once the Department of Energy study has completed.
January 26, 2007 - How do I get a signed Certificate of Authority for Office-Logic InterChange?
Before you obtain a Certificate of Authority, you must generate a server certificate for Office-Logic InterChange. From your Office-Logic InterChange server, go to the Configure\Options menu and select the SSL menu tab. Fill in the information requested on the SSL form and click on the Generate New Certificate button.
The SSL Generate New Certificate process in Office-Logic InterChange will create the files in the Office-Logic InterChange programs SSL directory (example: C:\INTER\SSL). This step can be skipped if you have already generated a server certificate for Office-Logic InterChange.
You will need to send a copy of the SERVER.CSR file located in the ..\INTER\SSL directory to the Certificate Authority, and they will return a signed certificate to you.
Copy the signed certificate returned by the Certificate Authority to a text file named SERVER.CA and place it in the ..\INTER\SSL subdirectory.
Restart Office-Logic InterChange.
January 12, 2007 - Can I disable or change the Sound Notifications in Office-Logic?
Yes. The sound notifications in Office-Logic Groupware are configurable and managed under the Windows Control Panel - Sounds utility menu. The Office-Logic Sound Notification files are stored on the users workstation under the C:\Program Files\Office-Logic directory. Removing one or more of these files from this location will not disable the sound notifications because Office-Logic will automatically replace any missing files. You will need to follow these steps in order to disable or modify the Sound Notifications:
To Disable an Office-Logic Sound Notification, you will need to highlight that specific entry in the Program Events window and then use the Sounds pull down menu at the bottom and select NONE. To Change an Office-Logic Sound Notification, you will need to highlight that specific entry like above, and use either the Sounds pull down menu to define a Windows pre-defined sound, or click on the Browse button to select the location of a different sound *.WAV file. By default, there is not a sound file associated with the Office-Logic In/Out Notification. If you would like to use a sound notification for the In/Out Board option to notify you when another Office-Logic users status changes to IN, then you will need to manually define that sound file using the instructions above.
Disabling or Changing an Office-Logic Sound Notification will not alter the visual flashing icon notification associated with that sound. There is not an option to disable the visual notifications within Office-Logic other than manually moving the icon to a less obvious location on your screen.
January 5, 2007 - I used to get a choice when closing Office-Logic to either Exit or Minimize?
By default, Office-Logic will inform the user when exiting that they will not receive notifications, and give them the option to Minimize, Exit, or Cancel. This prompt also includes a Don't ask again option, which when selected will automatically exit Office-Logic in the future without displaying this option window.
Many users decide after selecting the Don't ask again option, that they prefer having this choice when exiting Office-Logic and would like the prompt to return. In order to reset this option in Office-Logic, you will need to do the following:
If you would like Office-Logic to automatically Minimize when clicking on the Windows X button on the top right instead of closing the program, then check the Minimize application instead of exiting option.
The General Configuration menu window is also where you can set Office-Logic to create a log file, which can be very helpful to our Technical Support Technicians if you are having an issue with Office-Logic. To have Office-Logic create a log file, select the Enable file logging option. Usually it is only necessary to enable this option if requested by one of our Support Technicians.
December 8, 2006 - Can I notify another user of an upcoming appointment that I have?
Yes. Office-Logic will allow you to inform other users of an appointment that is listed on your Office-Logic calendar. Open your Office-Logic calendar by selecting the Scheduler icon located on the left side Module Bar. Right-Click on the appointment that you would like other users to know about, and select the Send Via E-mail option.
This will open an Office-Logic Compose Message window with appointment name listed on the Subject line, and the appointment details listed in the Message Body. Simply enter the addresses for the users that you would like to know about this appointment in the To: field and click on the Send button.

October 27, 2006 - Important Notice About Internet Explorer 7
This is an FYI that we felt was important enough to make sure our customers become aware. Although we are not anticipating any compatibility issues between our Office-Logic products and Internet Explorer 7, we have become aware of some issues with products that utilize online services. As an example, Internet Explorer 7 will disable Quickbooks Banking and Credit Card services. The error message that Quickbooks gives does not specifically indicate that the problem is related to Internet Explorer 7, which makes troubleshooting the problem very difficult. At the recommendation of Intuit (Quickbooks) technical support, uninstalling Internet Explorer 7 corrected this issue. Additionally, Internet Explorer 7 does not "play well" with programs when other browsers are installed such as Firefox. Internet Explorer 7 will cause you to experience problems anytime IE7 is NOT the default browser. FOR MORE INFO CLICK HERE
October 20, 2006 - Can Office-Logic not automatically send read receipt notifications back to the sender?
A message that has a Read Receipt request will be displayed in your message list with a BLUE arrow on the envelope icon. A message with a Read Receipt request will send a notification message back to the sender that lets them know that their message has just been opened by you. This of course does not necessarily mean that you have actually read their message. Normally a Read Receipt will be sent whenever the status of the message has been changed to Read. Opening a message will automatically change the status to Read. However, simply highlighting a message in your list, that then displays in the Preview Window, can also change the message status to Read and send a Read Receipt.
Many of our Office-Logic customers wanted the option to either "Never send a read receipt" or "Ask before sending a receipt" because they find Read Receipt requests to be an invasion of privacy.
Office-Logic Groupware allows you to configure how messages that have requested a Read Receipt are handled. Within the Office-Logic Groupware e-mail module, select the Options\Configure menu. There is an option called Return Read Receipt: which has a pull-down window. Your options in the pull-down window are:
The "Ask before sending receipt" option will display a window, whenever the status of the message has been changed to Read, with choice to either send or not send the read receipt
October 13, 2006 - Protect your financial and other accounts from e-mail fraud messages (PHISHING).
We want you to
be aware of e-mail scams that attempt to steal your personal and/or
account information. Known as "Phishing", these scams
consist of an e-mail that looks like it came from your bank or other
financial institution (complete with the institution's logo) and usually
takes an urgent or demanding tone.
The
institutions that you communicate with should not share your information
with any contacts outside of their firm but if they do, it should be in
a manner consistent with their Privacy Policy.

October 6, 2006 - Can Office-Logic be set to Keep Mail On Server when POPing external mail?
If you have Office-Logic configured to POP internet e-mail for specific users, and would like Office-Logic to keep a copy of the mail it downloads on the external POP3 server, then you will need to set this option in Office-Logic. It is also best to check with your POP3 provider to verify that they support the option to keep mail on server.
First, either Login as, or Switch to the GLOBAL user in Office-Logic. Click on the USER module icon located on the left, which will display a list of all your defined users in Office-Logic. If this view displays a listing of all your Groups instead of your Users, then click on the View icon on the top to change to the Users list. Double click on the user name that you want to modify. This will bring up the Edit User window. If the POP account information is listed on the main screen, then check the option at the bottom to Leave email on server. If the information is not listed on the main Edit User screen, then click on the Accounts button located on the right. Select the appropriate POP account (if more than one is defined), and check the option to Leave email on server. Click the OK button to save your settings.

September 22, 2006 - Secure your mail server with strong passwords.
It is extremely important that you create abstract passwords for your user accounts in Office-Logic InterChange, or any mail server for that matter. We have seen instances where SPAMMER's will attack mail servers searching for legitimate user names and passwords in order to seize control for the sole purpose of sending their SPAM out through that system. As an example, they will send thousands of user name and password requests looking for matches to authenticate in order to use that system. These requests use common user names like, MIKE, MARY, STEVE, CATHY, SUPPORT, SALES, INFO, etc., and will try to log in using a password that is either the same as the username, or common words like PASSWORD or SECRET. Many sites will define passwords for the sake of ease, and this is exactly what the "Bad Guys" are hoping for.
Do NOT fall victim to these kinds of attacks, by using a password of INFO for user name INFO, or PASSWORD for user name SALES. Once they get control of your mail server, they can send out millions of messages before being caught, and usually the result is that your mail server becomes BLOCKED by one of the SPAM database services. This will then limit your users from sending out legitimate, business related e-mail. It can be a real pain to clear your mail server from these lists. So please don't make it easy for SPAMMERS, and make sure that your passwords are ambiguous and secure.
September 15, 2006 - What is Reverse DNS Lookup, and do I need one?
Some internet mail servers, including AOL, rely on using Reverse DNS Lookup to determine if the sending mail server is legitimate, and will reject any messages from mail servers that do not have one. The theory behind using Reverse DNS Lookup is that all mail servers should have a Static IP address, and all Static IP Addresses should have a Reverse DNS Lookup entry. A Static IP address does not change and is used as a consistent identifier for that computer by other computers on the internet. So it might be beneficial if the IP address of your Office-Logic InterChange mail server has a Reverse DNS Lookup record.
A Reverse DNS Lookup entry is simply adding a PTR record to your DNS setup that defines the IP address of your Office-Logic InterChange mail server.
The PTR record entry can ONLY be created or changed by the ISP that owns that IP address. Your other DNS entries may be controlled by your ISP or some other provider who you contact for making DNS changes. But in the case of a PTR record, you MUST contact your ISP to setup or change your PTR record.
To see if your Office-Logic InterChange IP address already has a PTR record, you can use the Reverse DNS Lookup utility located at DNS Stuff, or contact your ISP directly.
September 8, 2006 - Can I setup mailbox quotas for my users?
Yes. Through Office-Logic InterChange, you can configure mailbox quotas that will allow you to have more control of your disk space environment(s). The mailbox quota limits are calculated during the Daily Cleanup, usually around midnight, or you can force a cleanup by selecting the File\Perform daily cleanup and quota re-calculation now option from your Office-Logic InterChange server.
A user will be notified when they are getting close to their quota, when the users mailbox size is within the limits of the configured Warn when remaining space is (in MB) option. If the user receives more mail and passes their quota limit, then another message is placed in their mailbox and any new internet mail is "soft refused". This means that Office-Logic InterChange will give the sending server attempting to deliver mail to that user a "400-series" error message indicating a temporary problem. This allows the user time to clear some messages from their mailbox. Of course, the sending server will continue to try to re-deliver the message for whatever time (typically 72 hours) they are configured.
The users should first try to clean out the Trash folder to get below their quota limit, and then remove other messages if needed.
Office-Logic Groupware users will still receive mail from other local Office-Logic users, but will not receive internet e-mail until their mailbox size is below the quota limit.

September 1, 2006 - I want a Pop-Up message to display on my screen when I get a specific message.
This can be accomplished by creating a Rule in Office-Logic. The Rules Engine inside Office-Logic is extremely powerful, and will allow you easily manage inbound messages. One feature in the Rules Engine will display a pop-up message on your screen when all the conditions for the rule have been met.
To create a Rule in Office-Logic:
If you select any of the Conditions, then you will need to enter the information that you want the rule to look for in the Value field. The Exclude Conditions section allows you to set conditions to NOT process the rule. As an example, you can have a rule that will display a pop-up message if the Subject field contains PARTY TONIGHT, but exclude the pop-up message if the Sender is BOSS. In the Actions section, click on the pull-down window to display the different Actions that this rule can process:
To have Office-Logic display a pop-up message on your screen when the Include and Exclude conditions have been met, then select the Display Message action from the list. In the blank field next to the Action that you have selected, enter the information that you would like the pop-up message to display. You can either enter the exact text of the message, or you can use Replaceable Parameters to display specific information. Office-Logic will replace the parameter with the information that it receives from the actual message. The replaceable parameters that Office-Logic allows are the following (All Lower Case):
August 25, 2006 - Can I use a word or phrase for a hyperlink when creating a message?
Yes. It can be very helpful to use a descriptive Word or Phrase hyperlink in a message in place of the actual hyperlink address. As an example, which statement in your e-mail message would be easier for the reader to understand:
Of course the first example would be easier for the reader and enhance the visual aspects of your message.
This feature is only available when composing a message in Office-Logic using Rich-Text. You can only use the actual hyperlink address when composing a Plain Text message. To enable Rich Text when composing a message in Office-Logic, click on the Richtext icon located on the Tool Bar. Your Compose window will now display the Rich Text Tool Bar as pictured below.
While typing your message, highlight the Word or Phase that you would like to add a hyperlink to, and click on the Anchor icon located on the Rich Text Tool Bar. You can also Right-Click on the highlighted Word or Phrase and select the Insert\Hyperlink option.
This will display a Hyperlink Utility Window. Enter the hyperlink address in the URL field, and click on the OK button to save your setting.
